POLICY STATEMENT:

The Board believes that it is necessary to establish a fee schedule for specific courses or school-related activities, projects or items.

GUIDELINES AND PROCEDURES:

1.         Maximum limits on school fees for the subsequent school year are normally established by the Board prior to May 1st as part of the budget development process.    Each principal is authorized to revise the school fees to be less than this maximum.

2.         School fees are due and payable at the beginning of the school year. Students  arriving or leaving during the school year will be charged or refunded at the rate of 10% for each month, based on the per annum rates.  No refund will be granted after April 30 of each year.

3.         All students are to be provided with a hard copy version of an invoice (bill) no later than September 15 of each school year.

4.         Schools shall devise an adequate system of accounting for resources in circulation.

5.         Resources that are lost or damaged must be paid for by the student.  The charge shall be based on the condition of the materials at the time of rental, and on the recommendation of the principal.

6.         Students transferring out of a school shall turn in their resource materials to their classroom teacher, and may claim a refund provided that

a.         the materials have all been returned in an acceptable condition.

b.         no charges are outstanding on the student's behalf.

7.         School fees should only be used for the purpose for which they were collected and should be directly related to the cost of supplies or materials provided to students.

8.         School fees for Grades 1-12 shall be submitted to the Treasurer at the end of each month, and subsequently credited to the school's site budget.

9.         Collection of delinquent school fees

a.         Each school shall be responsible for the collection of all accounts.

b.         On or before October 1, a reminder requesting payment will be sent.

c.         On or before November 1, a second reminder will be sent requesting either prompt payment or contact with the principal to make arrangements for payment. 

d.         On December 1, a third reminder will be sent.

e.         After January 1, the school will continue to enforce collection of fees by the appropriate actions.

10.       Schools may establish additional fees and charges for field trips, co-curricular and extra-curricular activities, yearbooks, picture plans, etc.   Physical education courses in grades 1 - 10 shall not be subject to extra fees. 

11.       Lockers, where available, will be provided rent free.  The school may make its own regulations about locking procedures and costs.
